Privacy Policy

This policy explains what personal data ZenkeiX collects, why we collect it, how we protect it, and the rights you have over it under the EU General Data Protection Regulation (GDPR).

01 Who we are (Data Controller)

ZenkeiX is the data controller responsible for the personal data processed through this website and in the course of providing its services.

02 The data we collect

We only collect data we actually need. Depending on how you interact with us, this may include:

Data you give us directly

  • Contact & booking data — your name, email address, company, and anything you write when you email us or book a call (for example through our scheduling tool).
  • Project data — information you share with us while scoping or delivering a project.

Data we collect automatically

  • Usage & device data — pages visited, referring page, approximate location, browser and device type, and similar analytics data. This is collected through cookies and only when you consent (see section 10).
  • Technical log data — IP address and request metadata processed by our hosting and security provider to deliver and protect the site.

We do not run advertising, profiling, or ad-personalisation on this site, and we do not knowingly collect special categories of data (such as health, political, or biometric data).

04 Our lawful bases (Art. 6 GDPR)

  • Consent (Art. 6(1)(a)) — for analytics cookies. You give it through our cookie banner and can withdraw it at any time.
  • Contract (Art. 6(1)(b)) — to answer your enquiry, book a call, and deliver services you request.
  • Legal obligation (Art. 6(1)(c)) — to comply with tax, accounting and other legal duties.
  • Legitimate interests (Art. 6(1)(f)) — to keep the website secure, available and working correctly. We balance this against your rights and freedoms.

05 Who we share your data with

We never sell your personal data. We share it only with trusted service providers (data processors) who help us run the site and our business, under contracts that require them to protect it:

We may also disclose data where required by law, to competent authorities, or to protect our legal rights.

06 International data transfers

Some of our providers are based outside the European Economic Area (for example in the United States). Where data is transferred outside the EEA, we rely on appropriate safeguards recognised under the GDPR — typically the European Commission's Standard Contractual Clauses and, where applicable, the EU–U.S. Data Privacy Framework. You can request a copy of the safeguards in place by contacting us.

07 How long we keep your data

  • Enquiry & booking data — kept for as long as needed to handle your request and for a reasonable period afterwards.
  • Client & project data — kept for the duration of the engagement and afterwards where needed to defend legal claims.
  • Billing & tax records — kept for the period required by Italian law (generally 10 years).
  • Analytics data — retained according to the retention period configured in Google Analytics, and only where consent was given.

When data is no longer needed, we delete or anonymise it.

08 Your rights

Under the GDPR you have the right to:

  • Access the personal data we hold about you;
  • Rectify inaccurate or incomplete data;
  • Erase your data ("right to be forgotten");
  • Restrict or object to certain processing;
  • Data portability — receive your data in a structured, machine-readable format;
  • Withdraw consent at any time, without affecting processing carried out before withdrawal.

If you believe your data is not being handled lawfully, you have the right to lodge a complaint with the Italian Data Protection Authority — the Garante per la protezione dei dati personali (garanteprivacy.it) — or with the supervisory authority in your country of residence.

09 How we protect your data

We apply appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access — including encryption in transit (HTTPS), access controls, and working only with reputable providers. No method of transmission over the internet is completely secure, but we work to protect your data using industry-standard practices.

10 Cookies & tracking

We use a small number of cookies. Strictly necessary cookies keep the site working; analytics cookies are only set after you accept them through our cookie banner. You can change your choice at any time via the "Cookie preferences" link in the footer.

11 Children's privacy

This website and our services are intended for businesses and adults. We do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data, contact us and we will delete it.

12 Changes to this policy

We may update this policy to reflect changes in our practices or in the law. When we do, we revise the "Last updated" date at the top of the page. Material changes will be highlighted where appropriate. Please review this page periodically.
